You are kindly invited to participate as an exhibitor at the EAA Annual Congress 2014 that will be held in Tallinn, Estonia at Radisson Blu Hotel Olümpia and Estonian Business School from 21–23 May 2013.

1. Place and date
The EAA Annual Congress 2014 will be held in Tallinn, Radisson Blu Hotel Olümpia and Estonian Business School from 21 to 23 May 2014. The exhibition area will be set up in the foyer of the convention centre of Radisson Blu Hotel Olümpia. The exhibition area is located next to the main parallel session and symposium halls and coffee break serving areas.

2. Terms and conditions for participating
Participation is restricted to Publishing Companies and Professional Bodies only. Registration must be made using the application form and received no later than Friday, 28 March 2014. Stands will be granted on the basis of available space. Your registration as exhibitor will be valid upon receipt of your application form and accept of your application by the Local Organising Committee.

3. Publishers fee

  • Per delegate: 400€
  • Per stand with tables: 1.000€
  • Please note: VAT 20% will be added to the prices.

Additional chargeable options for Publishers:

  • One-page advertisement in the conference proceedings: 500€
  • One shelf for books or journals on Publishers’ Bookshelf: 600€
    (for publishers not attending with table stand, please view the photo)
  • Promotional insert in delegates’ bags: 350€
    (one 6-page A4 insert or small promotional gift per Publisher)
  • Professional publication in delegates’ bags: 700€
    (2 positions in all available, selected by Local Organizing Committee)
  • Advertisement design, production of materials & transportation to the
    congress venue are the responsibility of Publisher.
  • Please note: VAT 20% will be added to the prices.

Please note that all sponsorship options are additionally open for Publishers.

The delegate’s fee covers:

  • admission to all academic sessions,
  • information package and conference bag,
  • tea/coffee breaks throughout the conference,
  • conference lunches,
  • Early Bird Reception, Welcome Reception and Farewell Party.

One stand at the conference includes (if required):

  • publisher’s logo listed on the conference website and in the proceedings,
  • two tables (measures of one table: width – 55cm; length – 110cm),
  • two chairs (or more if there are more personnel),
  • electricity,
  • WiFi internet connection,
  • the floor area per stand 220 x 150 cm,
  • storage of materials up to the congress dates.

Shelf fee on the Publishers’ Bookshelf includes:

  • one shelf on bookcase (shelf width 80 cm, height 35 cm, divided into 3 compartments),
  • sign with logotype and/or URL on the shelf,
  • placement of presented books or journals,
  • restock with free copies when empty,
  • storage of materials up to the congress dates.

4. Opening hours
Tuesday, 20 May 2014 – 10.00-17.30hrs (setup)
Wednesday, 21 May 2014 – 08:00-13:00hrs (setup); 14:00-18:30hrs (open for visitors)
Thursday, 22 May 2014 – 08:00-18:30hrs
Friday, 23 May 2014 – 08:00-18:30hrs
Saturday, 24 May 2014 – 08:00-14:00hrs (breakdown)

5. Shipment and storage
All material for the stand and promotional material for the conference bags should be delivered in the week preceding the congress, and in any case, no later than 15:00hrs on Friday, 16 May 2014, to the organizer, indicating the congress name, contact person name and full address:

All delivered materials must clearly indicate:

  • the event: EAA 2014
  • the name of the exhibitor
  • the contents of the package and amount of items
  • the number of the package and amount of all packages of the same exhibitor (e.g. package #3/10)

All material must be collected from the venue on Sunday, 24 May 2014 latest. After the deadline all the materials will be discarded.

6. Waivers and Cancellations
If the exhibitor decides to cancel his/her participation previously confirmed, he/she will have to notify the local PCO by email (, no later than Monday, 14 April 2014.
